CertFleet pricing: what each tier costs

CertFleet costs $99, $249, or $799 per month depending on how many workers you track. Starter covers up to 25 workers, Growth up to 150, and Pro has no worker cap. Admin users are unlimited on every tier, so the price follows the size of your workforce rather than the number of people in your office who need to run a report.

Metering on workers rather than admin seats is a deliberate choice. The person who owns credential compliance almost always needs a second and third pair of eyes on it, usually a safety manager and whoever covers when they are out, and a per-seat price turns that into a line-item argument instead of an obvious yes.

What you get at each tier

Starter is the whole workflow, not a preview of it. It tracks every worker's required credentials, including licenses, certifications, medical cards, and training records, against document types you define. Workers upload through one-time magic links sent by email, with no logins or passwords to hand out. OCR reads what they send and pre-fills expiry dates and fields for an admin to review, and every credential passes upload, extraction, admin review, and approve or reject with a full audit log behind it. Expiry reminders go out by email and SMS on lead times you configure yourself rather than a fixed default. Dashboards, exportable PDF reports, and shareable read-only report links are included, and the product arrives pre-configured for your trade. Twenty-five workers is the ceiling.

Growth raises that ceiling to 150 and adds the structure that larger crews need: worker segments by location, team, or any grouping you define, for scoped reporting and requirement assignment; multi-stage certification tracks for qualifications that take more than one upload-and-approve step; accrual-based requirements satisfied by accumulating hours toward a deadline; and worker e-signature acknowledgments of policy documents through the same magic-link flow.

Pro removes the worker cap and adds single sign-on for your admin team. That is the honest description of the tier. It is a capacity and identity tier rather than a feature tier, which is why the jump in price comes with a short list.

What annual billing saves

Annual billing is $950 for Starter, $2,390 for Growth, and $7,670 for Pro. Each is exactly 20% below paying monthly for twelve months, which is the only discount CertFleet publishes.

What the price does not buy

CertFleet tracks compliance status from the documents you collect. It does not determine or guarantee regulatory compliance, and it cannot: that determination rests with the regulator and with you as the employer. If a tool promises to make you DOT-compliant or OSHA-compliant for a monthly fee, read that promise carefully, because the agency is not a party to it.

CertFleet also performs no primary-source verification. It reads and tracks the documents your workers upload. It does not call the DMV, a state board, or an issuing registry to confirm a credential is genuine and current at the source. That is a real capability, some competitors sell it, and CertFleet does not have it at any tier.

And nothing is approved automatically. OCR pre-fills the fields to save typing, then a human approves. The review step is the product, not friction in front of it.

Which tier fits

Count workers, not admins. A crew of twenty sits in Starter with room to grow. The move to Growth is usually triggered by structure as much as headcount, because multiple locations, multi-stage qualifications, and accrual-hour requirements tend to arrive together. Pro is for large or multi-entity operations that need single sign-on and no cap.
