Workforce credential & compliance tracking

Employee certification tracking software

CertFleet is employee certification tracking software that watches every worker's credentials and starts chasing renewals weeks before they expire. The evidence is ready before an auditor asks for it. It's built for regulated trades like construction, trucking, and healthcare. CertFleet tracks compliance status from the documents you collect. It does not guarantee compliance, and the compliance determination rests with the regulator and the employer.

01

Every credential has a renewal date, and CertFleet watches all of them, reminding the worker who has to act by SMS and email weeks ahead.

02

Workers upload from a texted magic link. They don't need an account or a password.

03

Uploaded documents are read automatically, so an admin confirms what the system found instead of typing it in.

04

When someone asks for proof, you hand over a tamper-evident PDF binder that holds up in front of an inspector.

For the safety manager living in a spreadsheet

CertFleet is for the safety manager who keeps a spreadsheet named CERTS_FINAL_v7.xlsx and still hears about an expired credential from an auditor. It takes over the job of watching every worker's certifications, and it starts each renewal early enough that the paperwork is done before the deadline arrives. The person who used to carry all of it in their head gets to stop.

Expiry radar

Every credential has a renewal date, and CertFleet watches all of them. Reminders go out by SMS and email weeks ahead, straight to the worker who has to act.

Magic-link uploads

A worker gets a text with a link, takes a photo of the card, and that's the whole job. Nobody needs an account or a password.

OCR extraction

Uploaded documents are read automatically, so names, numbers, and expiry dates land in the right fields for an admin to review.

Review workflows

Every document is approved or rejected by a person, with a reason and a timestamp. The record holds only what someone actually verified.

E-signatures

Workers sign policies and acknowledgements from a phone, and the signed copy is filed with the rest of their record.

Audit exports

When someone asks for proof, you generate a tamper-evident PDF binder that holds up in front of an inspector or a general contractor.

Simple, workforce-based pricing

CertFleet is priced flat and tiered by how many workers you track rather than by how many admins log in, so your whole safety and ops team can use it at no extra cost. Starter is $99/month for up to 25 workers and covers the full workflow, from magic-link uploads through audit exports. Growth is $249/month for up to 150 workers and adds multi-stage certification tracks, accrual-based requirements, and worker e-signatures. Pro is $799/month with no worker cap and adds single sign-on for your admin team. Annual billing saves 20%, and every plan starts with a 14-day trial. No card required.

Common questions

Does CertFleet guarantee my workforce is compliant with DOT, OSHA, or other regulations?
No. CertFleet tracks compliance status from the documents you collect and reminds you before anything lapses. The compliance determination stays with the regulator and the employer.
Does CertFleet verify a license or certification with the issuing authority?
No. CertFleet reads and tracks the documents workers upload; it performs no primary-source verification with a DMV, state board, or registry.
Are uploaded documents approved automatically?
No. OCR pre-fills the fields it reads, but every credential passes admin review before it's approved.
Does CertFleet track equipment or asset certifications too?
No. Equipment and asset compliance tracking now lives in CertEquip, a separate Composed Studio product. CertFleet is workforce-only.
Is CertFleet part of Composed Studio?
Yes. CertFleet is an independent product, built and supported by Composed Studio.
